The Mission
We are a high-energy team of 20+, led by a leadership team with big visions and very full plates. We are looking for a tech-forward, empathetic, and highly organized Community & Operations Coordinator. In this role, you are the "stabilizing force" for our leadership team, and a hub for our office operations. Your #1 mission is to help our CEO and Head of Operations stay focused on their highest priorities by managing the whirlwind of daily logistics, calendars, and "to-dos" with grace and systems-thinking.
What You’ll Do
1. Executive "Air Traffic Control"
- The Second Brain: You will manage the calendars and task lists for four busy leaders. Two will be your primary focus (CEO and Head of Ops), two will be occasional (Chair and MD). You’ll help translate verbal ideas into documented plans, anticipate schedule conflicts before they happen, and provide the structure that allows creative thinkers to excel.
- Prioritization: Act as the first point of contact for the leadership team, helping to filter and prioritize what needs immediate attention and what can wait.
- Systems Expert: You will live in Google Workspace. You’ll be responsible for keeping our shared drives, calendars, and docs organized and accessible.
- AI-Enabled Efficiency: We value curiosity. You’ll be encouraged to use AI tools to summarize meetings, draft communications, and find ways to automate repetitive tasks so we can spend more time on human connection.
2. Office & Cultural Operations
- Daily Logistics: Keep our workspace humming—from managing supplies and vendor relationships to ensuring our office environment reflects our "human-first" values.
- The "Fun" Projects: Lead the design and sourcing of our annual holiday gifts for business partners. We love creativity here—past years have included custom puzzles and gourmet decorating kits.
- Community Building: Help coordinate team lunches, tenant appreciation events, and community-focused initiatives that make our buildings feel like home.
3. Commercial Real Estate Explorer (A Sneak Peek!)
This is your chance to get your feet wet in the world of commercial real estate. You'll be the friendly first line of defense, helping our commercial team keep their office and warehouse tenants happy and their buildings running smoothly. This means you'll get a ringside seat to the whole operation, even scanning and seeing some financial documents!
- The Switchboard Superstar: Answer phones and manage the flow of calls.
- Tenant TLC: Field requests and inquiries from our wonderful commercial tenants (the folks in our office and warehouse spaces).
- The Logistical Luminary: Schedule necessary life safety inspections (like HVAC and fire safety checks) with commercial tenants.
- Orderly & Organized: Handle important administrative tasks like data entry, filing, and general organizing.
Who You Are
- The Flexible Multi-Tasker: You have 1–5 years of professional experience. You might not have been an "EA" before—perhaps you come from high-end hospitality, project management, education, or another field where you had to manage complex logistics and diverse personalities.
- Smart, Curious, and Trainable: You are a quick study. You might not know every tool we use yet, but you have the "tech-intuition" to learn new software (like AI or CRMs) in an afternoon.
- A "People Person" with a System: You have high emotional intelligence and can communicate warmly with everyone from a tradesperson on a job site to a high-level business partner.
- Values-Driven: You care about Vancouver, you care about the future of real estate and you want your work to be a force for good.
The Perks
- Salary: $60,000 - $68,000 based on experience.
